In cases where a customer is certain that items have been returned, but they still show as checked out to the customer's account, the Library can initiate a formal search for the items in question at the customer's request. Once a Claims Returned search has been initiated, Library staff will then search the shelves for the items during a four-week search at both the Grant R. Brimhall Library and the Newbury Park Branch Library. If the items are found by library staff, they are checked in, any fines for the items are waived. If the items are not found, a bill requesting the replacement cost of the items is sent to the customer.

During the six-week search, the Library recommends that the customer continue to look for the items in question around his or her home, office, or anywhere else the items may have been, such as under a vehicle's seats. This is because if the customer finds the items at home during the four-week search, the overdue fines will be considered due and payable. Hence, by looking for the items at home, customers can minimize any fines due in case they find the items in question.
